Purpose of the Position

He/She is in charge of all the general admin matters including HR admin, Labor admin, office management, and secretary work.

His/Her primary target is to ensure smooth back-office operation and enable a comfortable office and working environment to allow colleagues to focus on their core business and create a comfortable working environment.

Key Duties and Responsibilities

  1. General affairs area
  • Signature arrange and saving BoD and Committee meetings
  • Prepare the office environment

2. HR and Labor area

  • Coordinate with Labor and Social Security Attorney (社労士) to monitor labor related admins
  • Recruiting interview settings with Japanese agents
  • Schedule internal meetings
  • Account management related to hiring and resignation
  • Arranging trips and company offsite, including obtaining a business trip visa

3.Legal admin area

  • Manage KYC process on vendors prior to signing contracts
  • Assistance in the preparation of documents required by group companies and investors (Notarization, Due Diligence, etc.)
  • Assistance in the preparation of documents for registration / 登記
  • Preparation of documents requested by investors (For seal certificate / 印鑑証明書, copy of register / 登記簿謄本, etc.)
  • Signature arrange and saving contracts proceed based on legal Flow

4.Secretary area:

  • Responding to various inquiries. Quickly connect to the right person if necessary
  • Schedule management support

Requirements

  • Be passionate, aspirational, and highly motivated to commit to the goal achievement even in difficult situation
  • Strong skills to manage various administrative tasks in a timely manner
  • Strong interpersonal and communication skills
  • Experience in working with international colleagues/counterparts
  • Native in Japanese, Fluency in English

Preferred Skills, Knowledge and Experience

  • A Bachelor's degree or greater
  • A minimum of 5 years of working experiences in the area of Labor, Admin, Office management, or Hospitality including airlines
  • Strong plus if you have a certificate as a Labor and Social Security Attorney (社労士)
