Executive Assistant - Bilingual (Japanese & English)

We are looking for an experienced Executive Assistant to support a senior leader in the healthcare industry. The role involves high-level administrative tasks, ensuring smooth operations and clear communication within the company. The ideal candidate is proactive, detail-oriented, and can handle sensitive information discreetly. Key Responsibilities:


- Manage the executive's calendar, including appointments and travel.
- Prepare and refine communications, presentations, and documents.
- Conduct research to provide data for decision-making.
- Organize meetings, prepare agendas, take minutes, and ensure follow-ups.
- Help plan and execute company events and conferences.
- Act as a link between the executive and internal/external contacts.
- Handle incoming calls and correspondence efficiently.
- Support project management to meet deadlines and goals.
- Work with different departments to align on strategic plans.

Qualifications:


- Bachelor’s degree in Business Administration, Communications, or similar is preferred.
- 3-5 years of experience as an executive assistant or similar role, with proven skills in confidentiality and schedule management.
- Fluent in Japanese and English, with strong communication skills.
- Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management abilities.
- Able to work both independently and in a team.
- Professional and discreet.
- Strong problem-solving skills with attention to detail.
- Able to adapt to changing priorities and handle multiple tasks.
- Experience in project management or event planning is a plus.
