We are looking for a proactive and detail-oriented Executive Assistant to support our clients Legal departments in Tokyo. This role offers a flexible hybrid working setup, allowing you to manage your time effectively without fixed hours. Key Responsibilities:
- Provide administrative support to managers and team members in the Legal & BCR departments.
- Prepare and distribute legal documents, letters, and reports accurately and on time.
- Organize meetings and teleconferences, coordinating schedules and arranging accommodations and refreshments.
- Plan and book travel and accommodations for department managers.
- Manage expense reports and vendor invoices with specialized software.
- Organize and maintain electronic and paper files, ensuring data integrity and compliance.
- Assist with special projects and department events.
Qualifications:
- At least 5 years of experience in an administrative or executive assistant role.
- Proficient in English (business level, TOEIC 800+ preferred) and fluent in Japanese.
- Strong problem-solving skills and discretion in handling tasks.
- Excellent interpersonal skills for effective communication with stakeholders.
- Familiarity with database management and administrative tasks in a legal setting.
