  1. Calendar Management: Maintain and manage the executive's calendars, ensuring all appointments and meetings are scheduled efficiently.

  2. Travel Arrangements: Arrange domestic travel, including flight bookings, accommodation, and itineraries. Provide interpretation services during business trips as needed.

  3. Communication: Act as the primary point of contact between executives and internal/external stakeholders, handling emails, phone calls, and correspondence with professionalism and discretion. Provide interpretation services during meetings, calls, and correspondence involving non-English-speaking parties.

  4. Meeting Preparation: Prepare agendas, materials, and presentations for meetings, and take meeting minutes as needed. Interpret discussions during multilingual meetings.

  5. Data Management: Organize and maintain confidential information and documents, both in physical and digital formats.

  6. Expense Reporting: Assist with expense tracking, reimbursement requests, and budget management for the executive team.

  7. Project Support: Support executives in special projects, research, and data analysis as required, providing interpretation services as necessary.

  8. Office Management: Oversee the day-to-day office operations, including supplies management, equipment maintenance, and other administrative tasks.

  9. Coordination: Collaborate with other administrative staff to ensure seamless operations within the organization.


  • Proven experience as an executive assistant or similar role.
  • Proficiency in MS Office Suite and other relevant software.
  • Exceptional organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Fluency in English and (near)native level of Japanese
  • Interpretation and translation skills.
