Executive Assistant to Non-Japanese Country Head

This role will be responsible for providing high-level administrative support to the country manager, directly reporting to them and supporting in a one-on-one working relationship.
Acting as the point of contact between the CM and internal/external parties ensuring that the CM's time is aligned with their priorities through demonstrated understanding of the core business.

This is an office based role with very limited work from home option.

Area of Responsibilities:

⚫Arranging meetings, resolving any scheduling issues while maintaining high-level business relationships
⚫Translation/interpretation support during meetings with local customers/vendors
⚫Maintain a comprehensive insight of the direction and workflow of the company
⚫Organizing meetings and booking meeting rooms / venues accordingly
⚫Arranging detailed business travel plans with expense reporting
⚫Accompanying the Executive in meetings, business trips and other business engagements when deemed necessary
⚫Delegate communications to appropriate departments regarding scheduling, meetings etc.
⚫Assisting with project management and handling correspondence
⚫Manage sensitive matters with a sense of confidentiality
⚫Assistance in managing and preparing presentations
⚫Complete all assigned projects - such as personal events and/or family needs
⚫Coordinate event logistics and other details: HQ team's visits to Japan, employee events, etc.

Technical Skills and Professional Knowledge

• More than 5 years EA experience supporting expats
• Native level Japanese and fluent in English
• Excellent interpersonal, communication and organizational skills
• Time management skills and ability to meet deadlines
• Proactive, self-driven, energetic & positive
• Problem-solving and decision making
• Skills in Excel, Outlook, PowerPoint
• Flexible hours according to the needs of the business
