Responsibilities
Executive Assistant duties:
- Scheduling - Managing CEO's calendar
- Meetings and calls - Setting up among Executives
- Travel arrangements - Preparing travel coordination to make it smooth CEO's business trip
- Expense Reports - Preparing CEO's monthly expense report
- Legal Document - Preparing CEO's signature
- Telephone - Answer phone calls for CEO or office
- Filing - Organize and maintain the office & CEO's filing system
Event Management duties:
- Overseas guest management
- Corporate event management - attending event with CEO, providing casual interpretation
Office Administration duties:
- Office gadgets and applications - e.g. e-calendars, copy machines, call & video call set up, global online video conference
- Reception - Welcome visitors for CEO and office
- Corporate car management - Corporate driver's schedule and car maintenance
- Perform a variety of ad hock administrative tasks
Personal Assistant duties:
- Maintain personal banking system of CEO
- Administrative duties for CEO's private matters
- Make necessary arrangement for CEO's family when it is required
Requirements:
- More than 5 years as Executive Assistant experience to non-Japanese Executives
- Management skills - Outstanding organizational and time management skill
- Flexibility to match CEO's fluid schedule
- Strong mentality to support busy CEO's schedule
- Excellent MS Office knowledge - Outlook, word, excel, PowerPoint, Adobe
- Excellent verbal and written communications skills
- Discretion and confidentiality
